Executive Assistant

Summary:

The executive assistant supports the CEO and President/Chief Business Development Officer at C2 Strategic Communications, Louisville’s largest public relations and marketing agency.

The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. This person should have experience working in an office environment, performing administrative duties and learning new software systems. Candidates who are flexible and adaptive while adhering to core processes are likely to be successful.

Essential duties and responsibilities:

  • Sales duties include, but are not limited to:
    • Updating and tracking business development opportunities in Salesforce
    • Monitor variety of databases for RFPs and RFQs relevant to our industry
    • Organize and maintain key sales and marketing materials
    • Maintain excellent records of executive calendars and meetings
  • Administrative duties include, but are not limited to:
    • Managing executive calendars to maximize productivity
    • Scheduling meetings, both virtual and in person
    • Engaging directly with clients or partners comfortably in person, virtually, via phone or email. Must be comfortable in a role that requires frequent communication with a variety of people
    • Daily scheduled briefings with executives to review tasks
    • Assisting with workflow and processes
    • Preparing executives for upcoming meetings
    • Performing common administrative tasks such as preparing name badges, mailings, etc.
    • Possible support for HR tasks, including filing resumes and scheduling interviews

Skills/attributes

Required:

  • Excellent organizational skills with exceptional attention to detail, accuracy and deadlines
  • Excellent written and verbal communication skills, and ability to maintain confidentiality for the company and employees
  • Proficiency in office productivity tools including Salesforce, Word, Excel and Outlook (email and calendar)
  • Aptitude for learning new software and systems
  • Strong time-management skills with an ability to organize and coordinate multiple projects at the same time
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
  • Exercises discretion in all work activities, especially those related to HR

Education/experience:

  • High school diploma or associate degree
  • One year experience working in Salesforce

Work environment:

This is a full-time salary position in C2’s Louisville office during normal office hours of 8:30 a.m. to 5:30 p.m. weekdays, with an hour for lunch. Reliable transportation is required. Dress code is business casual.
